Kanbar Reservation Policies
The policies and procedures for the reservation of space in the Kanbar Campus Center will follow those laid out in the East Falls Campus of Thomas Jefferson University Room Reservation Policy.
Building Philosophy and General Policies
The Kanbar Campus Center, in its operation, is a non-academic facility that is available for meetings, University events, and extra-curricular activities. Reservation requests for classes will not be considered, however academic events and activities are supported.
All reservable spaces must be properly scheduled and approved in EMS with the correct start and end time, and maximum guest attendance. Although most meeting spaces are available without a reservation on a first come first serve basis, additional resources (set-up changes, AV/tech equipment) may not be available without a reservation. If you do not have a reservation, you may be asked to leave the space to accommodate a previously scheduled event. Please see the information below for Room specifications. Kanbar 200 & 201 (Performance Space and Living Room) may not be used without a reservation or permission from the Assistant Director of Operations.
Groups with reservations must adhere to all Building Policies & University Policies while using the space.
EMS
All reservations for the Kanbar Campus Center must be properly submitted through the campus reservations software, EMS, and approved by the Campus Reservationist. For more information please visit Room Reservations on the Student Engagement website.
Events without a reservation will not be accommodated. Please email [email protected] with questions.
Event Setups & Furniture
Physical setups and changes to furniture for events must be submitted to Facilities at least 3 days prior to the date of the event through the Facilities Work Order system as an “Event Setup Request.”
Event setup requests must include:
- Start and end time of the event,
- Date of event,
- Location of event,
- Club/organization or department sponsoring or hosting the event
- All physical setup and furniture needs.
The work order will be reviewed by Facilities and is not confirmed until you receive an acceptance email. You may be asked to meet with Facilities and the Assistant Director of Operations regarding your event setup needs.
Technology requests must be submitted through the Technology Help Desk. Please see the Building Technology section for more information.
Any changes made to the physical setup of the space must be returned to their original position after the space is finished being used. If the space is not returned to its original set up, the club/organization/department may lose access to reservations in the building for the remainder of the semester.

Kanbar Performance Space (KPS)
All AV needs must be requested through the Technology Help Desk. Groups that have not submitted a request may not be able to be accommodated.
Available AV for use in the Performance Space:
- 4 Wireless Handheld microphones (stands available)
- 4 Wireless Tabletop microphones
- 4 Lapel microphones
- 4 Headset microphones
- Computer/projection hookup
- Bluetooth capability for phone and laptop
- DVD and CD capability with use of computer connection
Lighting & Catwalks:
Performance Space lighting for events must be coordinated through the Assistant Director of Operations (Suite 317) prior to the event start date. Building Staff will be available to assist during events if the requests are made prior to the event.
Only Kanbar Campus Center Staff is allowed on the catwalks.

Set-Ups:
All setups must be requested through the Facilities Work Order System. During events, building staff is available for minor adjustments or corrections: 192 chairs are available, 20 MityLite 6ft rectangle tables, 16 MityLite round tables, 1 podium, 1 coat rack, 6 sections of staging (each 4’x8’) with 1 set of stairs, 5 easels, 2 recycling bins, 2 plastic garbage cans, 2 silver garbage cans, and 9 adjustable cocktail tables.
Building Technology
The Kanbar Campus Center is well equipped with technology resources. Specific resources are listed above by room. In addition, the building is on our wireless network throughout (Please note that in order for anyone/guests to access the network from outside the University community, arrangements must be made through OIR (The Office of Information Resources) to obtain a username and password.
All AVs must be requested and reserved through the Technology Help Desk within 3 days prior to the event start date. Event organizers must submit a request by emailing [email protected] with the following information:
- Name of event & organization hosting event
- Start & End Date of Event
- Start & End Time of Event
- Location of Event
- AV/Technology requested
Laptops:
(6) laptop computers are available to be used in the conference rooms and in the Performance Space. The laptop must be requested and is available on a first-come-first-serve basis for events and programs. Laptops are not available for studying or personal usage.
Portable Speakers & Sound:
Two Speaker Portable Sound System- 2 speakers on mounts with sound system, aux, and Bluetooth connection to phone or computer. Requestors are asked not to adjust any settings without consulting the Kanbar Building Manager. If settings are adjusted, the organization or group may have their reservation privileges revoked. Must be reserved through the Technology Help Desk.
Single Portable Speaker - 1 speaker with mount, aux connection to phone or computer. A headphone jack is required. iPhone adaptors are available at the Information Desk. Requestors may be asked for their Photo ID as collateral. Requestors are asked not to adjust any settings without consulting the Kanbar Building Manager. If settings are adjusted, the organization or group may have their reservation privileges revoked. Must be reserved through the Technology Help Desk.
OWL Video Conference Camera System:
Audio and video conference unit for video conference meetings. Connects to laptop, which must be included in the request. Conference phones are not needed with the OWL. Must be reserved through the Technology Help Desk.
Conference Phone:
(1) Conference phone available. Must be reserved through the Technology Help Desk. Adaptor Cables & Cords:
VGA, HDMI, and other adaptor cords, including mac adaptors or power cords should be included with the event AV request. These items are available first come first serve. Requestors without a reservation may be asked to hold their Photo ID at the Welcome and Information Desk as collateral.
Common Thread Sound System:
The in-house PA system projects sound throughout the Common Thread Dining area. (4) microphones can be connected. The Mac laptop connected at the Welcome and Information Desk can be used to play music upon request.
Other Important Faculty Information
The Kanbar Terrace has no furniture and the availability of University furniture is limited. Furniture rentals may be required for approved events.
Certain areas of the building require special approval. All requests are reviewed by the Associate Dean of Students and/or Assistant Director for Operations Additional event information may be required and/or a meeting may be needed to discuss the details of the request.
Any requested area in the Kanbar Campus Center considered a “Common Space” is approved on a limited basis only. Limiting the use of “Common Areas” for events is essential in our efforts to keep the building’s operations and services available to students and the campus community at all times during scheduled hours. The following are considered “Common Spaces”: Balcony, Living Room, Lockyer Lounge, Ted’s, the Miller Lounge, and Common Thread.
